The price list is one page for everything you charge. Open Settings, then Price list in the Prices & payments group. The list is your prices. The booking page uses it to show guests an estimate before they book, and each guest's bill prices its lines from it, see Bills.

How the page works

At the top, a line says whether your prices include tax, with a link to Business details and tax rates, and lists your Seasons. Below are four sections: Dives, Courses, Extras & fees and Equipment. Each price is a row with its name and its price; equipment has a Per day and a Per trip column instead. The Tax rate column names a rate only on a row taxed at another rate than your default, such as Exempt 0 %; under the tax line at the top, the page says once which rate every other price uses, for example "Standard 7 % on every price unless the row shows another rate". Nothing is typed into the list: the pencil on a row opens a window for that price.

  • The window holds the Base price, the Tax rate and, once you have seasons, a line per season under Season prices. Equipment has Per day and Per trip instead. Press Save changes.
  • A season line left empty is charged at the base price. Type an amount to give the season its own price, or press the small x (Use the base price) to clear it.
  • A row with its own price in some seasons shows them as chips on a line under it, each with the season's price; hover over the "+2" after three chips for the rest. An equipment row gets a line per season under it instead, with the season's dot and name and its own amounts in the Per day and Per trip columns; a rate the season does not price differently stays blank. On a phone each row is a small block, with the rates side by side.
  • The Tax rate picks one of your tax rates. Left on the default, the row follows whichever rate is the default.
  • If one of several changes is refused, the window stays open and says what was saved, what was not and what is still in the form; what was saved stays saved.

No price and a price of 0

A row with no price reads No price. That is not the same as 0.

  • 0 means free: the item appears in the guest's estimate as a line that costs nothing.
  • No price means you have not set one: the item is left out of the estimate, which then says "Some items are priced at the dive centre."

Dives

  • Per dive is the price of one dive. A boat trip on the booking page is priced at this price times the number of stops on the trip; a trip without stops counts as one dive.
  • Each departure time you run has its own row, such as Night at 18:30, marked Trip price, with a price for the whole trip. Leave it empty to charge per dive: the row then reads Charged per dive. With a trip price of 2,000 on the night departure and a per-dive price of 1,500, a night trip with two stops is priced at 2,000, not 3,000. Only enabled departure times appear; see Set your departure times. Open a departure with a trip price to choose, under Volume discount, what a volume tier does to that price: Not discounted (its dives still count towards the tier; every departure starts this way), Same percentage (the trip price gets the percentage off that the tier gives the per-dive price) or Own prices. Own prices are a table with a row for each of your tiers, such as 5+ dives, and a column for All year and for each season, where you type what the trip costs from that tier, per trip or per dive. A price per dive counts every dive of the trip, and the window shows what it makes for the departure's usual number of stops, such as "= THB 1,600 for 2 dives". An empty price keeps the tier before it, in a season the all-year price first; with neither, the guest pays the trip price. A Trip price row on top shows what each column discounts. An empty price stays empty, and under each price the window says what applies, such as "Uses all year: THB 1,800 per trip", and what the guest saves, such as "THB 200 off". With many seasons the table scrolls sideways. A tier cannot cost more than the trip price, nor more for the trip than the tier before it. This is checked when you save the tier prices, and when you change a trip price, all year or in a season, while the departure has own prices; a price per dive is compared at the departure's usual number of stops, which it has once its trips have run. A guest never pays more for the trip at a higher tier than at a lower one: the trip costs the lowest price of the tiers the guest reaches. On a phone, Prices for chooses the column. Save changes saves it after the trip prices. The row then shows Volume prices. New bookings take it; lines already on a bill keep what they were posted with until you reprice them. The departure's history shows each change, such as "5+ dives: THB 1,800 per trip" to "THB 1,700 per trip", and removing a tier, or deleting a season, also removes the departures' prices for it.

Volume discounts

The Volume discounts card under the dive rows shows the ladder at a glance, from the price of 1 dive through each tier, such as From 5 dives, and under Own prices in the seasons that price a tier differently. Its switch turns the discounts on or off at once; switched off, the card keeps the tiers and says "Switched off: these prices are not applied." With no tiers yet it offers Add tiers.

The pencil opens a window. Under All year, press Add tier, fill in From (dives) and Price per dive, and press Save changes; the per-dive price at the top comes from the Per dive row. To price a tier differently in a season, choose the season at the top (a list when there are many seasons or on a phone) and type the price on the tier's line. A tier left empty costs the all-year price. The tiers themselves are the same all year, so you add and remove them under All year, and removing one removes its prices in every season. When a guest reaches a tier during their stay, all their dives are charged at that tier, not only the dives past it.

A tier starts at 2 dives or more, each number of dives can be used once, and no tier may cost more than the tier before it or the per-dive price. That holds in every season, starting from its own per-dive price or, without one, the all-year price: the window marks a season that breaks it, and a save that does is refused, naming the season. The same check applies when you change a per-dive price, a season's included. Tiers need a per-dive price, so DivePilot refuses to clear it.

Note: The estimate on the booking page applies your tiers. It counts each person's dives across every trip in their booking, a request for a number of dives included, and gives the discount its own line under that person. Per-dive prices are discounted at their own season's tier, and a trip price as its departure's Volume discount says: the same percentage, or its own price for the tier. A fee charged once per stay is counted once per person. Until a discount applies, a fun dive estimate carries the note "Discounts for more dives are applied at the dive centre." It is still an estimate: you confirm the amount with the guest. The discount itself is applied on the guest's bill, where every dive of the guest on the bill counts, see Discounts.

Courses

Each course template has a row with its price; under the name, a count shows how many extras are included, and hovering over it lists them. The pencil opens the course's window, which also holds Included extras under the season prices: pick the extras that go with the course, each with a number box for its quantity, charged on top of the course price. An eLearning code is the usual example. The estimate for a course is the course price plus every included extra times its quantity. Courses appear once you have a template, see Build a course template. The template's own window has no price fields: its price, tax rate and included extras are set only here, and the Open price list button on the Course templates page lands on this section.

Extras and fees

This section holds everything else you charge. Press Add item: one window takes the item's settings and its prices together.

  • Name, such as Marine park fee or Private guide.
  • Type: Extra, Fee or Product, a label that helps you tell items apart.
  • Charged: when the item joins an estimate.
    • Every dive: once for every dive of the trip.
    • Every boat trip: once for each boat trip.
    • Once per stay: once, however many trips the guest books.
    • Added by hand: never added by itself. You can still attach it to a course as an included extra.
  • Base price, left empty for no price, a Tax rate and, once you have seasons, its Season prices.

A marine park fee set to Every dive with a price shows on a two-stop trip as the fee times two. The Charged rules apply to fun dive trips; a course charges the extras attached to it.

The pencil edits an item and the archive button retires it: an archived item is no longer added to estimates. Switch on Show archived to see archived items and press Restore to bring one back.

Nitrox

Nitrox is built in and carries a Built in badge. It is priced per dive: when a guest chooses Nitrox (enriched air) on the booking page, the estimate adds nitrox for every dive of the trip. Your team ticks the Nitrox card (Diving on nitrox) on a booking in the same way, and the trip then shows an EANx chip for that guest. You can set the nitrox price and tax rate and rename it, but it cannot be archived and its Type and Charged cannot change.

If your dive centre does not offer nitrox, switch off We offer nitrox on the Dive centre tab. The row then reads Not offered, with a link, Turn on in Dive centre, and keeps its price; the booking forms and estimates leave nitrox out.

Equipment

Every equipment category and bundle has a row with its rates per day and per trip; its window has Per day and Per trip fields, one pair for every season too. Bundles carry a Bundle badge and are priced as a whole. On the booking page, gear for a boat trip uses the trip rate, and gear for a course uses the daily rate, counted as one day. A rate without a price shows a dash. Season prices count for equipment too: the booking page and the New rental dialog use the rate of the day being booked or rented, season price included, and a rental is charged at the rate of its start date for the whole rental. Rental prices are set only here: the category and bundle windows have no rate fields; see Equipment categories and service rules and Bundles, a kit rented as one item.

Prices per size

A category with more than one size, such as tanks in 12L and 15L, can have a price per size. While none of its sizes has a price of its own, press Set a price per size on the category's row to open one line per size under it, and Hide sizes to close them again. Once any size has a price of its own, the category's sizes are always listed under it and Set a price per size is gone. The sizes stand on a tinted band under their category, with a line on their left. A rate the size has its own price for shows that price; a rate it takes from the category shows the category's price in grey with "from" and the category's name under it, such as "from Tank", so a size without any price of its own shows the category's prices in grey. A size's season lines list only its own season prices. The pencil on a size opens the same window as any price, with Per day, Per trip and a line per season; the tax rate is the category's and is shown without a choice. Clear both rates of a size and it shows the category's prices in grey again. A category with one size has no size lines.

The price of a size on a given day is the first of these that is set:

  1. the season price of that size;
  2. the size's own price;
  3. the category's season price;
  4. the category's price.

With none of them set, the gear costs nothing. So a 15L surcharge needs only a price on 15L: with no category price, 12L stays free and 15L costs its price. A size price counts everywhere gear is priced: the booking page and its estimate, the rental desk, and a rental line, at the rate of the rental's start date. Bundles keep one price for the whole set.

A size you priced but no longer have, for example after the last 10L tank was retired, stays on the list marked No items in this size, with a bin (Remove size price) to delete its price. Guests are never offered it.

Gear included in every fun dive is priced here too: its Per trip rate is charged once per booking, or once for every dive of the booked trip when the category is charged per dive, counting one dive while the booking has no trip. See Equipment categories and service rules.

Download the price list as a PDF

Press Download PDF at the top of the Price list tab. The Download price list window asks for two choices.

  • What to include: tick Fun dives, Courses, Extras & fees and Equipment. All are ticked at first and at least one must stay ticked. A part with no price is dimmed and reads Nothing priced yet.
  • Which prices: All seasons, Base prices only, or one season by name, shown with its dates.

Press Download. The PDF is an A4 price list with your logo, name and contact details, what it covers, a valid-from date, one section per part, a tax note and page numbers. With All seasons it shows the base price and each season's price. Volume discounts and a course's included extras are in it too. Trips with their own tier prices follow the volume discounts, one line per tier, for the trip or per dive. It is written in the language you use the app in. Rows with no price in your choice are left out. A category with its own price for a size lists its sizes under it.

Show prices on the booking page

Open Settings, then Online booking. In the Rental equipment card, switch on Show prices on the booking page. It works on its own, whether or not Offer equipment rentals online is on.

With it on, guests see dive, course and gear prices and, when the dive or course has a price, a Price estimate with an Estimated total before they book. Each line shows its quantity times its unit price, and notes under the total say whether prices include tax. When your prices are before tax and there is tax to add, the estimate also lists the tax and the Estimated total includes it. With it off, the booking page shows no prices at all. See What guests see on the booking page.

The currency locks

As soon as any price exists, the currency on the Dive centre tab can no longer be changed, so choose it before you enter prices.

Who sees and who edits

Seeing prices is one permission and changing them is split by area: dive prices, volume discounts, course prices, extras and fees, equipment prices and seasons each have their own permission, grouped under Prices & seasons in the permission editor. Someone without permission to see prices does not get the Price list tab and sees no amounts anywhere else, such as on rentals or course templates. Someone who can see but not edit gets an eye button, View prices, in place of the pencil; it opens the same window to read, with nothing to change. Of the built-in presets, Admin and Manager can edit everything on the list, and Staff can see prices and seasons without changing them. See Permissions explained.

History

Each row has a History button, a clock icon that opens Change history for that price: who changed it, when, and from what to what. The changes to that row's season prices are listed there too. See Activity log and change history. So are the prices of its sizes, each with its size named.

On the bill

Every line of a guest's bill is priced from this list when it is posted. A size price feeds the rental line and the included tank line of a bill. Editing a price or a season changes no line already posted: Reprice on the bill brings a line to today's price. See Bills.
