DivePilot records every change to your prices and the settings around them: who made it, when, and what it was before. Open Settings, then Activity log in the Account group. The newest entries come first.
What is recorded
- Prices: the per-dive and trip prices, volume discounts (with the tier prices of each season), course prices and their included extras, extras and fees (added, changed, archived and restored), equipment rates and season prices. Deleting a departure slot that had prices is recorded too, as a price change of the kind Departure slot.
- Seasons: added, renamed, recoloured, periods changed and deleted.
- Tax rates: added, changed, made default (recorded on the new default and on the rate that lost it), archived and restored.
- Business details, including the Prices include tax setting. See Business details and tax rates.
- Online booking settings: turning Show prices on the booking page on or off, in the settings or in the setup guide. See Turn on online booking.
Business details and the per-dive price saved in the Invoices and payments step of the setup guide are recorded the same way. A save that changes nothing records nothing.
Read an entry
Entries are grouped by day. The header of each group says "Today", "Yesterday" or the weekday and the date. On the activity log page it stays at the top of the list while you scroll through that day.
Each entry has an icon for the kind of change (added, changed, deleted, archived or restored), a title for what happened, such as "Price changed" or "Tax rate archived", the time in your dive centre's timezone (hover over it to see the full date and time), the person who did it and the kind of record. Under it come the fields that changed, as a small table with one row per field: the field name, then the value before struck through, an arrow and the value after, for example the row Per dive with 1,500 struck through, an arrow and 1,800. A value that was empty before or is empty now reads "none". A new record lists only the values it was given, and a deleted record the values it had. A list, such as a season's periods, a course's included extras, the tiers of the volume discounts or their prices in a season, shows each of its values as a chip: added ones carry a plus, removed ones are struck through. An entry for archiving or restoring a record has no table, because its title already says what happened. A long log loads in pages: press Load more at the bottom of the list for the next one.
Next to the kind of record, an entry names the record itself when DivePilot can find it, for example Course · PADI Rescue Diver. A record with no name of its own, such as the per-dive price, the business details or the volume discounts, shows only its kind. A record that was deleted or whose name your role may not see is named from the entry itself when the entry recorded the name, as the entry of a deleted season does, and shows only its kind otherwise. A change to a season price is titled "Season price changed", and its row is named after the season and, for equipment, says "per day" or "per trip": High season (per day).
If your role cannot see prices, you still see who changed what and when, but the amounts are replaced by a line with a lock icon: "Amounts are hidden for your role".
Filters
On a wide screen the filters sit in one row above the list and wrap onto more rows on a narrower one; each shows what it is while nothing is chosen.
- All types limits the log to one kind of record, such as Tax rate, Season or Price item.
- All actions limits it to one kind of change, such as "Price changed" or "Season deleted".
- Everyone limits it to one team member. It appears only if you may see the team list.
- From and To set the dates.
Without dates, the last 30 days are shown, and a note under the dates says so. A range can be at most one year long; for a longer period, export it year by year. Once a filter is set, Clear filters appears under the filters and removes every filter. If nothing matches, the list says "Nothing recorded for these filters." and offers the same button.
Export to CSV
Export CSV, in the page header, downloads the entries that match your current filters as a spreadsheet file, so the same 30-day default and one-year limit apply. The button appears only for people with the export permission, which of the built-in presets only Admin has.
The file is the raw log, not a copy of the screen. The columns are createdAt, actorName, action, entityType, entityId, changes and reason; actions and types appear as technical codes such as price.update and CourseTemplate, a record is identified by its id rather than its name, changes holds the fields that changed with their value before and after, and amounts are in the smallest unit of your currency, such as cents. The cells are separated by a semicolon when DivePilot is set to German, Spanish, French, Italian, Dutch or Portuguese and by a comma when it is set to English, so the file opens in columns in Excel or a similar spreadsheet set to the same language.
The history of one item
A History button, a clock icon, sits next to a price in the Price list, next to each tax rate and season, and on the business details and volume discounts cards. It opens Change history. A line under the title names the record, its kind and, when DivePilot can find it, its name, for example Season · High season. Below it come the changes to that one record, newest first, grouped by day and shown like the entries of the log, only without the record's kind and name. A long history scrolls inside the window and loads further entries with Load more. For a price in the price list, the history also lists the changes to its season prices. A record nobody has changed shows "No changes recorded yet." with the hint "Changes to this record will appear here." People who may open the activity log find a link to it at the bottom, Open the activity log.
Who can see what
Three separate permissions, grouped under Activity log in the permission editor, decide who sees what: the whole log, the history of one item, and the export. Admin has all three. Manager can see the log and every history but cannot export. Staff can open a history but not the log. See Permissions explained, The price list and Seasons.
Bills and payments
Bills have entries too: a bill closed, with or without money owing, billed to another guest or put back, a bill discount given or removed, a line added, voided, moved, repriced or discounted, a payment recorded, voided, reversed or refunded, a day closed at the cash-up, a drawer movement, a payment method or a discount reason added, changed or archived, and the bill settings changed. A guest's standing discount, a waived no-show fee, a student's course price and who pays for a party are recorded as well. Documents add their own entries: a document issued or sent by email, Invoice to set or changed, a buyer corrected, and the invoices and receipts settings changed. Amounts show only to those who may see them. See Bills.
