Discounts are applied on the guest's bill, not on the booking page: the estimate there only shows the volume discount of the booking. This article covers the discounts you give by hand, the ones DivePilot works out, and the limits. See Bills for the bill itself.

A discount on one line

On a bill, Discount on a line opens a window with Discount as: Percentage or Amount, a Reason, and a Note. It shows the Line amount and the amount After the discount. Remove discount takes it off again. The line then reads, for example, "10.00 off (Loyalty)". On a line that is already on an invoice, the window also says that a credit note will be issued and asks for a reason, see Invoices and credit notes.

A discount on the whole bill

Bill discount gives a percentage or an amount off the bill. A bill holds one bill discount: remove it to give a different one. DivePilot spreads it over the tax rates of the lines, so the tax stays right.

The discount cap

Open Settings, then Bills & discounts. The Discounts card holds the cap: the most staff may take off a bill, as a percentage of its lines. Choose Up to a limit and type the percentage into the sentence "Staff can give up to ... off a bill", from 0 to 100 with up to two decimals; it starts at 10. The card works it out on a round bill in your currency, such as "On a THB 10,000 bill: up to THB 1,000 off." At 0 % only people with Discounts above the cap can give a discount; No limit lets everyone who gives discounts take off any amount. Line and bill discounts count together, and discounts, credit and corrections are left out of what they are measured against. The card saves on its own with Save changes.

  • Give discounts lets someone discount up to the cap. Discounts above the cap lets them go beyond it.
  • The cap checks only an increase. Lowering or removing a discount is always allowed, even on a bill that sits above a cap you lowered later.
  • A price changed by hand with Change price is not a discount and does not count toward the cap: staff who may change prices are trusted to set them. The discounts report lists the prices lowered this way on their own, see below.

Discount reasons

Staff choose a reason for every discount. They are listed under Discount reasons right under the cap, starting with Loyalty, Complaint, Staff and Promotion. Add reason adds one, you can edit it, Archive hides it from the choice and Restore brings it back; Show archived lists the archived ones. Reasons are what the discounts report groups by, see Cash-up.

A standing discount

A guest can have a standing discount: a percentage off every line of their bills, for a regular, a local or staff. On the customer's page, the Bills tab has a Standing discount row with the percentage, and Edit standing discount opens Standing discount for the guest. Choose No discount or Percentage off, then type the percentage, from 0.01 to 100 with up to two decimals, or pick 5 %, 10 %, 15 % or 20 %. The window shows what the guest gets, such as "A dive at 1,500 costs 1,350." with your price for a dive (an example amount if you cannot see the price list), and about how much comes off their open bill now. Save stays off until something changes; setting a guest who has a discount to No discount turns it into Remove discount. Changing it needs the permission Standing discount and the Edit permission of Customers. The discount counts at once for every line of the guest's open bill and for every line added later, also on their next bills and for guests billed to them. It is taken after the volume discounts and before a bill discount, and shows on the bill as "Standing discount". Closed bills stay as they are, and removing it puts the lines back to their price. See Customer profile.

Volume discounts on a bill

The tiers are set in the Price list. On a bill the rules are:

  • Every dive of the guest on the bill counts. On a shared bill, see Bill to, each guest is counted on their own, not together.
  • A trip with a flat trip price counts its dives. What a tier does to it is chosen on its departure in the Price list, under Volume discount. Not discounted: the trip only counts. Same percentage: the trip price gets the percentage off that the tier gives the per-dive price of that season; with 1,500 per dive and 1,200 from 5 dives (20 % off), a 2,500 night trip gets 500 off, rounded to the smallest unit of your currency. Own prices: the trip costs the departure's own price for the guest's tier in that season, the season's own price first, then the all-year one, then the tier before; a price per dive is multiplied by the dives of the trip, and a higher tier never makes the trip dearer: it costs the lowest price of the tiers the guest reaches. With a 2,000 night trip priced 1,800 for the trip from 5 dives and 800 per dive from 10 dives, a guest with 6 dives gets 200 off, and with 10 dives a night trip of 2 dives costs 1,600, so 400 off. A trip never gets more off than its price.
  • The tier follows the number of dives on the bill, and each dive is discounted to the tier price of its own season. The result is one "Volume discount" line per guest and tax rate.
  • A booking that becomes a no-show drops out of the count, so a guest can fall back to a lower tier.
  • Tiers that are switched off discount nothing.
  • When a recalculated discount lowers a bill that already has an invoice, the difference waits as "To be credited" until the next invoice or Settle & close, which issues the credit note.

An example: tiers start From 5 dives. A guest has 6 dives on the bill, 3 in the low season (1,500 per dive, 1,200 at the tier) and 3 in the high season (1,800 per dive, 1,400 at the tier). The volume discount is 3 times 300 plus 3 times 400, which is 2,100.

The volume discount is automatic. Staff cannot void it or the standing discount; they change the dives or the tiers.

The discounts report

The discounts report on Cash-up groups the discounts by reason, by the day the line (or its reposted version) was posted. Giving or changing a line discount reposts the line, so it counts on the day you gave it.

Under the reasons, Price changes lists the prices lowered by hand with Change price in the period: how many lines, and how much they take off their list price. They are not discounts, so they are not in the discounts total. See Bills.
