Almost every screen and action in DivePilot is behind a permission. A person holds a set of them; menu items they lack are simply not shown, and buttons they lack are missing. Presets bundle sensible sets, see Roles & presets.

The "own" variants

Four permissions come in a narrower "own" version. A person who holds the own version but not the full one sees only what concerns them:

Own permission What they see
Boat trips, view own Only trips where they are boat master, a group's staff, or the instructor of a session on the trip. They can never delete trips.
Courses, view own Only courses they instruct
Staff schedule, view own Only their own row on the rota plus the pool lanes, without the staff filter
Payroll, view own Only their own pay

Holding both the full and the own version means the full one wins.

The groups

The permission editor shows the same groups in this order. In plain terms:

  • Dashboard: which panels they can see.
  • Customers: viewing, creating, editing and deleting customer records, plus the heavier rights to anonymise, export, restore and merge.
  • Customer certifications: recording cards on a customer.
  • Bookings: creating, editing, cancelling and restoring bookings.
  • Boats and Boat layouts: the boats and their seat plans.
  • Boat trips: viewing all or own, creating, editing, deleting trips.
  • Pools, Equipment, Rentals: the resources and the rental desk.
  • Staff schedule: seeing the whole rota or only one's own, plus managing duties, time off and pool blocks.
  • Payroll: seeing everyone's pay or only one's own, managing rates and salaries, entering adjustments, and creating, closing or reopening a pay period.
  • Boat trip guests, Dive sites, Dive groups, Trip seating, Trip checklists, Dive logs, Participants: the parts of a trip page.
  • Courses, Course templates, Course enrolments, Course sessions, Course attendance: the parts of a course.
  • Certification agencies and Certification levels: the catalogue.
  • Waivers: seeing waivers, managing templates, requesting signatures, uploading copies and confirming in person.
  • Users: seeing, inviting, editing, archiving and restoring colleagues, and "users manage permissions", which unlocks the permissions step and the presets settings.
  • Settings: the Dive centre and Departure slots, Registration, Customer form, Online booking, Branding and Subscription tabs. The Waivers, Roles & presets, Categories and Bundles tabs follow the Waivers, Users and Equipment groups instead.
  • Account: deleting the dive center, visible only together with the dive center settings permission.

Inside a group, each box is named after the action it allows, for example "customers gdpr delete".

When changes apply

A changed permission set takes effect within 15 minutes, or the moment the person signs out and back in. Their menu and buttons do not update by themselves; they change when the person reloads the page or signs in again. If a change does not show, see A menu item is missing or access is refused.
