The Rates and salaries tab of the Pay page holds everything that turns work into money. Payroll runs once a day at the rate valid on the day and recounts the previous seven days each time, and closing a pay period recounts the whole period, so changes here can still alter earnings that are not in a closed period.
How commission is counted
Three either-or choices, each with a worked example on screen:
- Fun dives: Per tank or Per diver, per tank.
- Courses: Per course or Per participant.
- Boat master: Per trip or Per dive.
Press Save basis. Future runs count the new way; earnings in closed pay periods keep what was paid.
Rates
Five kinds can have a rate: fun dives, paid to the guide of each group; courses, paid to the primary instructor on completion; office hours, per hour of timed duty; reserve days, per reserve duty; boat master, per trip or per dive. Without a rate, that kind of work is unpaid, and for fun dives, courses and office hours DivePilot reports it as a gap, but only in the summary shown after Recalculate or after closing a pay period.
Press Add rate:
- Applies to: the kind.
- Staff member: leave on All staff for the tenant-wide rate, or pick a person for a personal rate that overrides it.
- For courses, Course template: leave on All courses or limit the rate to one template.
- Amount and Valid from; optionally Valid until, which is exclusive.
The ladder, most specific first: a person's rate for one template, a person's rate, the tenant-wide rate for one template, the tenant-wide rate. Within a rung the newest start date wins. Who a rate pays is fixed once created; delete it and create a replacement to change the scope. An end date can be added later but not removed.
How each person is paid
Everyone is on commission at the configured rates unless you put them on Salary with a Monthly amount. The switch The salary covers diving decides whether commission is suppressed entirely or paid on top. A salary always absorbs office hours. A salaried person without a monthly amount is paid no salary and is reported as a gap when the period closes, so check the warning line above the table.
Re-apply rates
Recalculate on the same tab rebuilds generated earnings for a date range from the trips, courses and duties behind them, using the rates configured now. Adjustments and closed periods are left untouched.
