Trips and sessions land on the schedule by themselves. Everything else, office hours, reserve and absences, you enter from the toolbar of the Schedule page.
Add a duty
Press Duty, or hover an empty cell in the week view and press the plus:
- Staff member and Date.
- Type: Office hours or Reserve (on call).
- For reserve, tick On call the whole day or give a time window. Office hours always need a start and an end.
- Notes, shown on the block.
Press Add duty. Edit or delete a duty by clicking its block.
DivePilot refuses a duty that overlaps anything the person already has that day, and it refuses reserve for someone whose roles include neither Instructor nor Divemaster. An office duty for someone without the Office role is allowed but flagged as worth a second look. People with no roles at all are unrestricted.
Enter time off
Press Time off:
- Staff member, From and To.
- Type: Vacation, Sick or Day off.
- Notes.
Press Enter time off. A multi-day entry shows as one bar; editing any day of it edits the whole range. Time off that overlaps an absence the person already has is refused with "This staff member already has time off in that period".
When the period is not free
If the person has commitments in the range, the dialog stays open and shows This period is not free:
- Under Reassign first, course sessions and boat trips are listed. These cannot be removed here. While any remain, the time off cannot be saved: go to the course or trip, reassign the person, and try again.
- Under Removed on confirm, office and reserve duties are listed. The button Remove … and save time off deletes them and saves the time off in one go.
Reserve priority
Reserve blocks carry a number, the priority for that day, assigned in the order the duties were created. Editing a duty does not renumber the day, so a reserve duty moved to another date, or changed from office hours, can end up with the same number as someone else. The Reserve lane at the bottom of the week shows everyone on call.
Pay
Office hours are paid per hour at your office rate, and reserve per day at your reserve rate; without a rate, reserve is simply unpaid. A salary always absorbs office hours, and reserve too when the salary covers diving. Time off is never an earning. See Rates, salaries and how commission is counted.
