DivePilot usually hides what you are not allowed to use instead of greying it out. So a missing menu item, an "Access restricted" page or the message "You do not have permission to do that" almost always point to the same place: the permissions on your account.

Everything vanished at once

If the sidebar suddenly shows nothing but Dashboard, and the page you are on says "Access restricted", your permissions most likely did not change. DivePilot could not load your account while the app was opening, usually because the connection dropped or DivePilot was being updated at that moment, and it then treats you as having no permissions. Moving to another page may send you to the sign-in page.

Reload the page, and sign in again if DivePilot asks you to. If it keeps happening, check the status page, see Contact support and check the system status.

Check the sidebar group

Click the group headings Operations, Resources and Management. A folded group hides its items, and DivePilot remembers the folding in each browser, so an item can look missing on one computer and not on another.

What each sidebar item needs

Item Shown when you can
Dashboard Always shown
Customers, Documents, Bookings, Rentals View customers, waivers, bookings or rentals
Boat trips, Courses, Schedule View all of them, or only your own
Boats, Pools, Equipment, Dive sites, Certifications, Course templates View that resource
Users View users
Pay View everyone's pay, view your own pay, or manage rates
Settings Open at least one settings tab

There is no billing item. The subscription lives under Settings, on the Subscription tab.

Settings tabs

Each tab is shown only to people with the permission it needs, so two managers can see different tabs. Some combinations surprise people:

  • Danger zone needs both the dive center settings permission and the account deletion permission.
  • Waivers appears for anyone who may create, edit or delete waiver templates.
  • Roles & presets needs the permission to manage permissions.
  • Categories and Bundles need the permission to edit equipment.

See Settings at a glance.

The permission messages

What you see Meaning
"Access restricted" with "You don't have permission to access this page." You opened a page by link or bookmark that your permissions do not cover
"You do not have permission to do that" The page is open to you, but the action you tried is not
"Trip not found" with "This trip may have been deleted." The trip was deleted, or you can only see your own trips and this one does not involve you
A course page that keeps loading The course was deleted, or you can only see courses you instruct and this is not one of them
"Only the boat master can modify this trip" You can only see your own trips, and you are not this trip's boat master
"Users with own-trip visibility cannot delete trips" People limited to their own trips can never delete one

With the "own" permissions, a trip counts as yours when you are its boat master, in one of its dive groups, or instructor of a course session on it. See Permissions explained.

After an admin changes your permissions

The menu and buttons are loaded when the app starts and do not update by themselves while you work.

  • A permission you were given works for actions straight away, but its menu item and buttons appear when you reload the page or sign in again.
  • A permission that was taken away leaves its menu item in place until you reload, and the action itself can keep working for up to 15 minutes.

Who can fix it

Anyone who may view and edit users and manage permissions opens Users, presses the pencil on your row and ticks the boxes on the permissions step, or applies a preset. Ask them for the specific item you need rather than a wider preset. See Manage your team's accounts and Roles & presets.
