Pay in the Management group shows what each person earned and the rates behind it. It is separate from the schedule so a bookkeeper can be given payroll permissions and nothing else.

Choose the window

On the Earnings tab, the window bar switches between Pay period and Date range. A period is the payslip unit and the window salary belongs to; a date range totals commission, office, reserve, boat master and adjustments, plus the salary of any closed period whose last day falls inside the range. A note under the bar says which you are looking at, and whether a period is open or closed.

The earnings table

One row per person with Fun dives, Courses, Office, Reserve, Boat master, Adjustments, Salary and Total, the first five amounts followed by the units behind them: tanks or diver-tanks, courses or participants, hours, days, and trips or dives. In an open period the salary carries a projected pill. Click a row for the Earning lines with date, quantity, rate and a link to the trip or course.

Earnings are written by a nightly run that looks back seven days, so today's work appears tomorrow, and work entered or corrected more than a week late appears only after Recalculate or Close period.

Adjustments

With the adjustment permission, Add adjustment on a person's lines records a Payment or a Deduction with an amount, the Day it belongs to and a Reason that appears on the earning line. Only adjustments can be deleted; generated lines are rebuilt by recalculating. A day inside a closed period refuses adjustments until the period is reopened.

Pay periods

New period creates a period with a First day and a Last day, both inclusive; periods cannot overlap. Creating one changes nothing by itself. Close period runs the generation over the period, writes one salary line per salaried person for the full monthly amount, whatever the period's length, stamps every earning, and freezes it all: this is the payslip. Reopen undoes that and deletes the salary lines. It is recorded in DivePilot's internal security log, which is not visible in the app.

Creating, closing and reopening need the close-period permission, which the built-in Manager preset does not carry; a Manager sees all pay and sets rates but cannot close.

Gaps

After Recalculate or Close period, a banner lists anything that could not be paid: "No rate configured", "No primary instructor", "Office duty with no times", "Guide is not a staff member" and, when closing, "Salary with no monthly amount" and "Former staff member with earnings". Until fixed, the people affected show less than they earned. Recalculate rebuilds the window from the current rates without touching adjustments or closed periods.

Excel downloads the window as a spreadsheet.

What counts

Fun dives are paid to the guide of each group, by tank or by diver and tank. Courses are paid to the primary instructor when the course completes. Office hours need times to be paid. Reserve and boat master are paid only if a rate exists. Salary is written only when a period closes.
