A payment link opens the guest's My bill page: their bill as it stands, what an earlier bill still owes, their documents, and a button to pay online. Each guest has one link, and it always shows the bill their charges land on, so the same link works for a whole stay and for the next one. Paying online needs a connected Stripe account, see Connect Stripe for online payments.
Send a payment link
On the bill, press Send payment link. The window offers:
- Email to the guest: to the guest's address on file, in the guest's language, with the subject "Your bill with …", the dots standing for your dive center's name. The daily limit of bill emails applies, 100 a day.
- Copy link, to send it any other way.
- A QR code to show on your screen for the guest at the desk to scan, and Save QR code.
Each send moves the link's end to 180 days later, and so does each time the guest opens it. Revoke stops it at once; Make a new link makes one with a new address. Sending needs the permission Send payment links and the permission to see that bill, See every bill or, for your own guests, See own guests' bills. Revoking a link or making a new one also closes the payment forms it has open.
A bill whose charges are billed to another guest with Bill to offers the link of the guest who pays instead: that is where the charges are. See Bills.
While Add the payment link to booking confirmation emails is on, the booking confirmation email carries the guest's link too: to pay online while online payment is available, otherwise only to see the bill. The emails about a deposit always carry it, see Deposits for online bookings.
Erasing a guest's details stops their links, and an archived guest's link does not open until the guest is restored. When two customers are merged, the links of both stop working, and the guest has no link until you press Send payment link again. Erasing a guest's details also closes the payment forms their links have open.
What the guest sees
The page opens in the guest's language, or in your dive center's default language, and is made for a phone first. It shows:
- the lines of the bill, the payments (online ones marked "Online payment"), refunds still waiting for Stripe as "Refund pending", and the balance;
- each payment row named by what it is: a refund to card, a chargeback after a lost dispute, or a refund that did not go through and was put back;
- under "Booked, not yet confirmed", the guest's reserved bookings with what was booked and any deposit due with its deadline;
- an earlier bill that was closed while it still owed, with what it still owes, payable on its own, less what credit on the guest's current bill covers of it, which the page names;
- the invoices, credit notes and receipts of the guest's bills of the last 12 months, to download;
- your cancellation policy, see Cancellation policy, and your contact details.
It never shows staff names, internal notes or the reasons your team gave.
A guest whose charges are billed to someone else sees "Your charges are on …'s bill", with the payer's first name, instead of a bill to pay; their own bookings not yet confirmed and their documents still show. Nobody sees another guest's bill through their own link.
Paying
- The button with the amount owed, for example "Pay 120.00", pays what the bill owes. Pay another amount takes any amount between the minimum and what is owed. The minimum is your Smallest amount a guest can pay, or Stripe's minimum for your currency when that is higher, such as THB 10, USD 0.50, EUR 0.50 or JPY 50.
- The form charges exactly the amount on the button. When the bill changed in the meantime, the page shows the new amount and the guest pays again.
- Stripe's payment form opens, in the guest's language.
- A card or wallet payment is confirmed within seconds and shows on the page. A payment that takes longer shows "We will email you when the payment is confirmed."
- Without an active Stripe connection, or when what is owed is below the minimum, the page offers no online payment and says "Please pay at the dive centre."
- A link can open at most 20 payment forms an hour; past that the page says "Too many payment attempts with this link. Try again in an hour."
- A payment you take at the desk for the bill closes the payment forms open on it. The guest starts again and sees the new amount. So does a change to what the bill charges, such as a line voided, discounted or moved, Bill to or a booking change. The guest then sees "This payment form was closed …" with Reload instead of the form.
What lands on the bill
- The payment appears by itself on the bill the guest's charges land on, with the method Online payment and Online instead of a staff name. It counts for today's business day, or the next one once today is closed in the cash-up. The bill also shows DivePilot's fee on the payment, as DivePilot fee, see Connect Stripe for online payments. In Brazil, Mexico, Malaysia and Thailand the fee is billed once a month, and the line reads DivePilot fee ... with Billed monthly under it. After a refund to card or a lost dispute, the line shows the fee that is left and how much was given back.
- With Automatic receipts on, a payment before the bill's first invoice gets its receipt as at the desk, and a late payment split between its closed bill and credit gets one receipt per part, see Receipts.
- DivePilot emails whoever paid a "Payment received" message, when they have an address on file, with the subject "…: payment of … received" (your dive center's name first, then the amount). When a receipt was made, it comes in its own email and the "Payment received" email says so. Stripe's own receipt email is a setting of your Stripe Dashboard; switch one of the two off if guests get both.
- A payment for a closed bill first settles what that bill still owes. Only the rest, and a payment whose booking was cancelled before the money arrived, lands on the guest's current bill as credit, and your team gets the notification Online payment arrived late. A payment larger than what an open bill still owes by then is posted on it, the rest is credit, and your team gets Online payment more than the bill owed. A late payment never brings a cancelled booking back.
- While a bank payment, such as a SEPA debit, is on its way (the bank can take a few business days to confirm it), the page shows it as on its way and does not ask for that amount again. It counts on the bill once the bank confirms it.
- A deposit paid by bank debit is shown the same way: the booking page and this page say it is on its way and do not offer it again, no deposit reminder goes out for it, and the booking is not cancelled at its deadline while the bank confirms it. A deposit your team waived reads as waived.
- What a refund made in your Stripe Dashboard for a closed bill left the guest's current bill owing is not asked for: the page says it is on hold while you check a refund, until you take it off the closed bill's line or press Ask the guest to pay on the bill, see Online refunds and disputes.
- A bank payment, such as a SEPA debit, that fails after the guest left the page posts nothing. DivePilot emails the guest that it did not go through and how to pay again, and your team gets the notification Bank payment did not go through. When that email could not go out, for example with no address on file, the notification says so: send the guest the payment link from the bill.
The My bill settings
On the Online payments tab, the My bill tab holds these settings; before you connect, while the account is being set up and after a disconnect, the My bill page card holds them:
- Smallest amount a guest can pay: the smallest amount a guest may pay with Pay another amount. Left empty, Stripe's minimum applies.
- Add the payment link to booking confirmation emails.
Changing it needs the permission Bill settings, besides See online payments for the tab, and each change is recorded in the Activity log.
When a link does not work
A revoked link, or one not sent or opened for 180 days, shows "This link is no longer valid." Send the guest a new one. While your DivePilot subscription has ended, the page is not available, as every guest page, see A guest link says it is invalid or expired.
