Deleting your dive center deactivates it at once and schedules its records for removal 30 days later. It is not the same as cancelling the subscription, which keeps your data; see Cancel or restart your subscription.

Note: If only one person is leaving, do not delete the dive center. Someone who can delete users removes that person under Users, see Manage your team's accounts; their records stay, and their email address stays taken. If that person holds the subscription, see Hand over the account to a new owner. A former team member who wants their personal data erased writes to privacy@divepilot.app.

Before you start

  • You need both the dive center settings permission and the account deletion permission. Of the built-in presets only Admin has both.
  • The Danger zone tab can only be reached while the trial or subscription is running. Once DivePilot is locked, write to privacy@divepilot.app instead.
  • There is no export of the whole account. If you want copies, download each customer you need with Export data first, see Archive, export or anonymise a customer.
  • You do not need to cancel the subscription first; deleting takes care of it.

Delete the account

  1. Open Settings and choose Danger zone in the General group.
  2. Under Delete this dive centre, press Delete account.
  3. The dialog Delete this account? lists what will happen. Type your dive center's name exactly as shown in the field Type “…” to confirm; capital letters count.
  4. Press Delete account.

You see "Account deactivated. All data will be deleted in 30 days." and are signed out. No confirmation email is sent.

What happens at once

  • Nobody can sign in, except someone accepting an invitation sent in the last 48 hours. After a correct password, the sign-in page says "This account has been deactivated and is scheduled for deletion. To reactivate it, email support@divepilot.app." Colleagues who are already signed in can keep working for up to 15 minutes, or only until their next action if you had a paid subscription.
  • Your booking page and self-registration link stop working.
  • Waiver signing links and dive log links you already sent keep working.
  • The subscription will not renew. The time you already paid for is not refunded.
  • Your email address and your team's stay taken, so they cannot be used for a new DivePilot account in the meantime.
  • If you delete during the free trial, the email "Your DivePilot trial ends on …" can still arrive three days before the original end date. Ignore it: nothing is charged, and the deletion goes ahead.

Undo it within 30 days

There is no button for this. Write to support@divepilot.app within the 30 days. After reactivation your data is back, apart from your notifications. If your links use Secret token, the token is replaced, so share the new links and reprint your QR codes. If you were paying, the subscription no longer renews. When it ends, you subscribe again on the page you see after signing in.

After 30 days

The dive center and its records are removed: users, customers, bookings, boat trips, courses, waivers and signatures, the staff schedule and pay, equipment and rentals. After that, the email addresses can be used again.

Not removed:

  • Files uploaded to DivePilot, such as signed waiver documents, waiver template files, your logo and scanned checklists.
  • The billing records kept by Stripe, the payment provider.

Note: The automatic removal does not complete for a dive center that has recorded an equipment rental or built an equipment bundle. Its records and email addresses then stay in place. If that applies to you, or you want the uploaded files erased as well, write to privacy@divepilot.app and ask for permanent erasure.
