DivePilot has no owner role. What someone can do depends only on their permissions, so handing over the account means giving those permissions to the next person, then moving the card and the business email. Do it while the person leaving still works in DivePilot.

What makes someone the owner

  • The person who created the dive center started with every permission, but has no other special status.
  • A Role label such as Owner is only text and grants nothing.
  • Three things count: the subscription permission, deleting the dive center (which also needs the dive center settings permission), and managing permissions. Among the built-in presets only Admin holds them all, see Roles & presets.
  • Several people can hold them at the same time.

While DivePilot is locked after a trial or subscription has ended, Users does not open and nobody can change permissions. Hand over while the account is running.

Hand over step by step

  1. Give the successor the Admin preset. If they have no user yet, press Add user on Users and pick Admin (all permissions) under Apply preset, see Invite your first team member. Otherwise press the pencil on their row, press Next, pick Admin (all permissions) under Apply preset and press Save changes. Only someone who can manage permissions sees that step. If that option is missing because the Admin preset was renamed or edited, tick the permissions listed above by hand.
  2. Have the successor reload DivePilot in the browser, or sign out and back in. Waiting alone does not update their menus. They should now see Subscription under Settings.
  3. If you are paying, the successor presses the Payment method row on that tab and adds their card on the Stripe page that opens, see Your plan, renewal and payment method.
  4. If the business email is the departing person's own address, have it changed, as described below.
  5. The successor deletes the person leaving under Users. Nobody can delete their own row. The person's access ends within 15 minutes, and their email address stays taken. See Manage your team's accounts for what happens to the trips and courses they ran.

Do not keep using the login of the person who left. Every person needs their own account.

The business email

Billing emails, including the trial and renewal reminders, go to the business email given at sign-up, and guests who reply to a booking email or a waiver signing request reach it too. The address is not shown in the app and only support can change it. Write to support@divepilot.app with your dive center's name and the new address. To find out which address it is, see Invoices and billing details.

Invoices keep the dive center name and business email that Stripe was given when the payment form was first opened. Changing either in DivePilot does not update them, so mention it to support if invoices must show the new details.

Nobody with those permissions is left

Anyone still on the team who can manage permissions, and edit or add users, can give the missing ones to a colleague, as in step 1. If nobody can, there is no way to recover this in the app. Write to support@divepilot.app with your dive center's name, who has left and who should take over.
