At the end of a month, or whenever your accountant asks, DivePilot gives you your figures as files. Open Invoices & receipts in the sidebar and press Export. The window is titled "Exports for your accountant". It needs the permission Exports for the accountant.

The four CSV files

Choose the file, then the first and the last day of the period. A period covers up to 366 days, both days counted:

  • Documents (CSV): one row per invoice, credit note and receipt issued in the period.
  • Document lines (CSV): one row per line of those invoices and credit notes, with its tax rate, net, tax and gross.
  • Payments (CSV): one row per payment, refund and reversal of the period, by the cash-up day it counts for.
  • Cash closes (CSV): one row per closed cash-up, with the first and the last day it covered, so a close of several days is one row.

The month's PDFs

A month's PDFs (zip) downloads one zip file with the PDF of every invoice, credit note and receipt issued in the month you pick, in a folder for each kind. A document whose stored PDF is missing is made again from what was stored at its issue, with the same content. Where your country has an official invoicing tool, the zip also holds an index.csv that lists each file with its document's number and official code, or the reason it needs none, see Link the official invoice.

The format

  • UTF-8 with a byte order mark, so accents and Thai text open correctly in Excel, Numbers and Google Sheets.
  • Separated by commas, with one header row.
  • Dates as 2026-10-13, times as 2026-10-13T09:30:00+07:00, in your dive centre's time zone.
  • Every amount twice: in minor units, such as 150000 for 1,500.00 (in a currency without decimals, such as the yen, the minor unit is the amount itself), and formatted with a dot, such as 1500.00.
  • Tax IDs, branches, references and official invoice numbers are written as text. When you import the file into a spreadsheet, set those columns (buyer_tax_id, buyer_tax_branch, reference and official_reference) to text, or the spreadsheet drops leading zeros such as the 00000 of a head office; an official code can be letters and digits, up to 120 characters, or start with zeros, which a spreadsheet would otherwise turn into a number and lose.
