Dive logs are written by group leaders on a public form and read by divers on a public page. Inside the app there is less to see than you might expect.

No dive log screen

There is no dive log page in the sidebar or in Settings, and no dive logs on the customer profile, neither on the Diving tab nor on Activity. The only way in is the Open the dive log icon on a dive group card, which opens the editable form once the request has gone out. See How dive logs are requested.

Also not available:

  • a status showing whether a group's log was filled in or shared with the divers;
  • a notification or dashboard panel when a leader saves a log, or when one is still outstanding;
  • dive logs in the customer's Excel export.

Logged dives on the profile

The customer header's Logged dives, and Total dives and Last dive under Dive experience, hold what the diver reported when registering or what your team entered. Saving a dive log does not update them. Keep them current by editing the customer; see Find a customer and read their profile.

The Dive logs permissions

The permission editor has a Dive logs group with view, create, edit and delete. In the built-in presets, Admin and Manager have all four; Staff, Divemaster, Boat master and Instructor have view only. No screen in the app checks them at the moment.

Who can fill in or change a log depends on the link instead: the leader through the email, and anyone who can see a trip's dive groups through the trip page. See Permissions explained.

Deleting a group

Deleting a dive group deletes its dive logs and ends both the leader's link and the divers' link. The confirmation does not mention the logs, so check before you delete a group after the trip. A single dive cannot be deleted from a log.

Changing a trip with logged dives

Note: Once any dive log is saved on a trip, saving the Edit boat trip dialog fails with "A referenced record does not exist", whatever you changed. The dialog rewrites the trip's dive sites, and the logged dives hold on to them. If you picked a different boat, the trip's seats and zones are cleared even though the save fails. Finish the trip's details, including its dive sites, before the leader logs the dives.

Before any log exists, you can edit the trip freely. A leader who has the form open at that moment has to reload it before saving, or sees "One or more dives point to a stop that is not on this trip".

Deleting a dive site moves it to Archived and keeps its name on existing logs, but it is no longer offered on the form. If a saved dive names it as the site actually dived, saving the form fails with "One or more dives point to an unknown dive site"; restoring the site fixes it. See Dive sites.

Deleting a trip with logged dives

A saved dive log blocks deleting the trip for the same reason. After you confirm Delete trip? on the list, the message "A referenced record does not exist" appears, and the trip stays as it was, with its groups, seats and guests. The message comes in English whatever your language.

To delete the trip anyway:

  1. Open the trip and delete each of its dive groups. This deletes their dive logs and ends both links, so divers can no longer read their log.
  2. Delete the trip from the Boat trips list.

A trip without any saved log deletes normally. How deleting a trip affects its bookings is covered in Plan a boat trip.
