When the log is first saved with at least one dive, usually by the group leader, DivePilot emails the divers of that group a link to read it. Neither the leader nor your team has to do anything else.

Who gets the email

Every customer in the group with an email address: divers who came through a booking and students of a course group. Customers who share one email address get a single email.

Not included:

  • staff in the group, including a staff group leader;
  • guests who stay on the boat;
  • customers in other groups of the same trip, since each group has its own log;
  • customers without an email address.

A booking marked as a no-show is still part of the group and still receives the log. Cancelled bookings and students marked absent have left the group, so they do not.

Sent once per group

The email goes out once, on that first save. Later corrections are not sent again; divers see them on the same link. A diver added to the group after the first save never receives the email.

There is no button to send, resend or copy the divers' link, so DivePilot cannot send it to a diver who missed it.

The email

The subject is "Your dive log from …" followed by your dive center's name. The email says the log of their dives on the trip date is ready, asks them to keep the link, and has a View dive log button. It is written in the language on the customer's profile, carries your logo, colours and contact details, and replies go to your dive center's email address. See Upload your logo and colours.

The diver's page

The page is titled Your dive log, with your dive center's name, the trip date and the group name. It is read-only. It opens in the language last used in that browser, otherwise the browser's language, and the switcher at the top changes it. Each dive is a card with:

  • the dive site (the one the leader picked if the group dived elsewhere, otherwise the planned one), and Dive 1, Dive 2 and so on;
  • Max depth, Duration, Water temp and Visibility, with a dash when empty;
  • Water and Current, which the leader's form always saves (salt water and no current unless changed);
  • Time, Avg depth, Gas, Tank, Weather and Waves when filled in;
  • the notes underneath.

A dive the leader did not log reads "No details logged for this dive." Under the dives, the page says "Logged by your dive guide at …" with your dive center's name.

The page does not show the leader's name, the other divers, the boat or the diver's own name. There is no download, PDF, print button or export to a logbook app; the browser's own print and share are the only options.

All divers of a group share one link rather than a personal one. It never expires and always shows the latest saved values. Deleting the dive group ends it, and the page then says "This dive log link is not valid".

Note: Because the link is shared, anyone a diver forwards it to can read the whole group's log. It shows no diver names, only the dive details.
