Not every diver signs at home: walk-ins sign at your counter, and a child needs a parent to sign. DivePilot has no counter mode and no guardian signature, but the steps below work with what it has.

Sign on the shop tablet

The diver signs the same online page they would open from the email, on a device you hand them. There is no button that opens that page for staff, only Copy link on a record whose link is active.

  1. On the tablet, signed in to DivePilot, open the diver's own profile. Add them first if they are new; see Add a diver and their certifications.
  2. On the Waivers tab, press Request waiver, pick the Waiver template and press Send signing link.
  3. Open the new Link sent record and press Copy link.
  4. Paste the link into a new browser tab and hand the tablet over on that tab.

Good to know:

  • The customer gets the signing email as well. A link always goes out by email when the profile has an email address; you cannot create one without sending it. Once they have signed, the link stops working and the email can be ignored.
  • The page opens in the language last used in that browser, which on a shop tablet is usually your team's. The diver can change it with the switcher at the top.
  • Each request covers one diver and one template. Repeat the steps for each person and each waiver.

Children and a parent's signature

There is no guardian field and no second signature. What works:

  1. Create the child as a customer with the child's own name. The customer form needs an email address, so use the parent's.
  2. Request the waiver on the child's profile.
  3. The parent opens the link, answers any medical questions for the child, types their own name in Full name and draws their signature.

The record belongs to the child, so it counts for the child's header status, trip checks and dashboard. Signed by shows the name as typed: DivePilot never compares it with the customer's name. The Waiver signed notification shows that typed name too, so it names the parent, not the child. Nothing on the record says the signer is a parent or guardian.

Paper instead of the tablet

If you need the parent's relationship to the child on paper, or the family prefers the agency's paper form, record the signed form on the child's Waivers tab: press Request waiver, pick the Waiver template and choose one of these:

  • Photograph signed copy: photograph the form page by page, up to 8 pages and 5 MB in total.
  • Upload signed copy: a scan as PDF, JPG, PNG or WebP, up to 5 MB.
  • Confirm signed in person: records your name and the time without a file, so keep the paper yourself.

Families on one email address

Several customers can share one email address, and every request sends its own email. A parent whose address is on three children's profiles gets three emails, each with the greeting "Hi" and that child's first name. Apart from that name and the link, subject and text are the same for the same waiver when the profiles share a language. Tell the parent to open every email and sign each link once: signing one does not cover the other children.

The hourly limit on shop Wi-Fi

Online signing accepts 10 attempts an hour from one internet connection, counted across all divers. A family or a group signing one after another on your tablet or shop Wi-Fi can reach it and then sees "ThrottlerException: Too Many Requests". Let the others sign on their own phones using mobile data, use the paper route above, or wait an hour. The rest of the signing page is described in What the diver sees when signing.
