DivePilot accepts files in five places, each with its own limits. When a file is refused, look up the message below.
The limits

DivePilot checks the file's content, not just its name. Renaming a HEIC photo to .jpg does not get it accepted.
Size messages
- "File too large": a logo, signed waiver file or waiver template document is over the limit in the table. This message comes in English whatever your language, and a file over 10 MB shows "Something went wrong" instead. Export the logo smaller, or scan the document at a lower resolution or in black and white.
- "The photographed document is too large - maximum 5MB": the pages together are too big. Remove a page, or scan the paper form and use Upload signed copy instead.
- "The PDF is too large - maximum 5MB": a checklist PDF is over 5 MB.
Type and shape messages

Page count messages
- "At most 8 pages": you picked more photos than the eight pages leave room for, so the extra ones were left out.
- "A checklist holds at most 10 pages": you picked more photos than the ten pages leave room for, so the extra ones were left out. Remove a page or combine pages into one PDF.
- "A PDF is the whole checklist - it cannot be combined with other pages": use either photos or a single PDF, not both.
Checklist and template rules
- "This trip already has a checklist - delete it before uploading a new one": a trip holds one checklist, and someone saved one while yours was open. Reload the trip page, open View checklist and delete the old one with Delete checklist first. Delete checklist only shows for users allowed to delete checklists.
- "An uploaded page is no longer available - upload it again": uploaded pages are kept for at least 24 hours before you save, then a daily clean-up removes them. Remove the pages, add them again and press Save checklist.
- "A waiver document that already has signatures cannot be replaced. Create a new version instead.": once a waiver has been requested with a template, signed or not, its PDF is fixed. Upload PDF and Replace PDF disappear from its card and the edit dialog shows Document locked, so this message only appears if a waiver was requested while the page was open.
The upload stops halfway
Checklist pages upload one by one as soon as you add them. "Upload failed" with Retry upload on a page usually means the connection dropped while that page was sent. Press it once you have signal again. Pages already uploaded are kept, and Save checklist stays unavailable until every page is up.
Photos added with Take photo or Choose file are shrunk before they are sent, so they travel faster over a weak connection than a large scanned PDF.
