Most data that looks wrong in DivePilot is a setting doing exactly what it should. Check the explanations below before you correct anything by hand.
Times follow the dive center's timezone
Every date and time in the app, such as when a notification arrived, a waiver was signed or a signing link expires, is shown in the timezone under Settings, Dive centre, Timezone, not in your device's. A manager working from abroad still sees dive center time.
- If every time is off by the same number of hours, the timezone is wrong. Fix it on that tab. When your country has only one timezone, the field cannot be changed.
- Right after the app opens, times can show in UTC for a moment until your settings have loaded.
- Trip dates, booking dates and birthdays are plain dates. If your timezone is behind UTC, as in the Americas, lists and detail pages can show them one day early, while the boat trips calendar puts them on the right day.
- Exceptions: the "today" highlight in the boat trips calendar and the dashboard's Today's trips and fleet capacity panels follow your device's date, and the Closed on time of a closed pay period is shown in UTC.
Dates written in an unexpected order are set by Date format on the same tab. See Dive centre details, timezone and currency.
Statuses that change by themselves
| What changes | When |
|---|---|
| A Confirmed booking seated on a trip becomes Completed | Shortly after midnight following the trip date, in dive center time |
| A course goes from Planned to In progress | On its start date |
| A completed course reopens | When a student is enrolled late |
Reserved bookings and confirmed bookings that were never seated on a trip never complete on their own. A course booking becomes Completed only after it is enrolled in a course and the student has every session marked present or made up. A completed booking can no longer be cancelled. See Booking statuses explained.
Amounts in another currency
Changing Currency converts nothing. Every price, rate and recorded amount keeps its number and is read in the new currency from then on. If the currency was changed by mistake, change it back: the old amounts read correctly again, but anything entered in between keeps the number it was typed with.
A colleague's change is not visible
DivePilot does not push changes to open screens. Your own saves show at once; someone else's appear when you open the list again after about two minutes, or straight away when you reload the page. The notification bell and the dashboard's waiver, course session, fleet capacity and new registration panels check for news every minute; the rest of the dashboard follows the same rule as lists.
Empty lists and duplicate customers
- A list showing its empty state, such as "No customers yet", when you know there are records and no search or filter is set, usually means the list failed to load. Reload the page. If it stays empty, type a letter in the search box and clear it again: the list may be stuck on a page that no longer exists, for example after you deleted the only record on the last page, and a search always goes back to page 1. See Error messages and pages that do not load.
- Online bookings and self-registrations always create a new customer, even for a returning guest. See Merge duplicate customers.
- A search that finds nothing does not mean the record is gone. See Search does not find a customer, booking or trip.
Emails in an unexpected language
| Written in | |
|---|---|
| Booking emails, waiver signing links, dive log copies | The Language on the customer's profile |
| Invitation, password reset, daily reminder, dive log request | The staff member's own language, picked in Add user and changed under Edit profile |
| Payment, renewal and cancellation emails | Your dive center's default language |
| Trial ending reminder | Always English |
Guests who book or register online get the language they chose on the form. Customers you add yourself start with the Default customer language from the setup guide, which has no field under Settings afterwards; change the Language on the profile instead. The waiver document itself is the PDF on the template, uploaded by you or copied from a standard waiver, in whatever language it was written.
The app's own language is personal: changing yours in the language menu or Edit profile changes nothing for colleagues or customers.
