Waivers are attached to the customer, on the Waivers tab of the profile. This article covers collecting and reading them. Creating the templates themselves is covered in Create a waiver template.

Four ways to get a waiver signed

Open the customer's Waivers tab and press Request waiver. Choose the template, then one of:

  • Send signing link: the customer receives an email with a link, if they have an email address, and signs on their phone. The status becomes Link sent. Open the record to Copy link or Resend email, and to see when the link expires.
  • Photograph signed copy: photograph a paper form page by page, up to 8 pages and 5 MB in total.
  • Upload signed copy: upload a scanned PDF, JPG, PNG or WebP of up to 5 MB.
  • Confirm signed in person: record that the customer signed on paper at the counter, without a file.

The options depend on your permissions, so your team may see fewer than four. A record whose link is still active offers no paper options, so press Request waiver again to record a paper copy. See Request a waiver signature for why Resend email adds a second request.

Reading a signed record

Click a row on the Waivers tab to open the record. A signed one shows how, when and by whom it was signed or recorded, and any expiry date; see The Waivers tab on a customer profile.

Medical questionnaires

A template marked as medical adds the diver medical questionnaire to the signing page. Any "Yes" answer stops the online signature, and the customer is told to bring a physician's clearance instead.

Expiry and the header status

A waiver's validity comes from its template: a number of days, or never. To renew one, press Request waiver and pick the same template.

The Waivers stat in the customer header sums up the templates required for diving in one of four statuses:

Status Meaning
All signed Every required template has a valid signature
Expired A required template has no valid signature but an expired record
Missing A required template has no signature, or only an open request
None on file Nothing is required and the customer has no waiver records

Expired wins when one required template has expired and another is missing. When nothing is required but the customer has records, any valid signature shows All signed, otherwise an expired record shows Expired, otherwise Missing.

The dashboard and each boat trip also flag missing and expired waivers; see Waiver expiry, renewal and checks.

The archive

Documents in the sidebar lists the waiver records of all your customers; see The documents archive.
