Every diver who books, signs a waiver or gets a dive log is a customer in DivePilot. Divers can add themselves through the self-registration link or by booking online, but you can also create a record by hand, for example for a walk-in or a phone booking.

Add a customer

  1. Open Customers in the sidebar and press Add customer.
  2. On the Basic info step, fill in First name, Last name and Email, and check the Language. Waivers and dive logs are emailed in that language. Phone, date of birth, sex and nationality are optional.
  3. Press Next for the Address step. Everything here is optional.
  4. On the Experience step, add certifications (see below) and, if you know them, the Total dives and Last dive date.
  5. On the Health and gear step, note anything relevant: passport number, dietary requirements, medical notes and the sizes the diver usually needs.
  6. Press Add customer.

Only the four fields on the first step are required. If a step still has an error when you submit, DivePilot jumps back to it and marks the field.

Note: Fields you set to Hidden under Settings, then Customer form, are not shown here either. The other settings on that tab only apply to the public forms; a field set to Required is marked as required here too, but you can still leave it empty.

Add a certification

Certifications live on the Experience step of the same dialog. To add one to an existing customer, open their profile, press Edit and go to that step. If you lack the permission to manage customer certifications, the step shows "You do not have permission to manage certifications." instead.

  1. Press Add cert.
  2. Pick the Certification level. The picker first asks for the agency, then lists that agency's levels.
  3. Optionally enter the Cert number and the Issued at date.
  4. Save with Save changes.

The cards then appear on the customer's Diving tab with the level, the agency, the number and the issue date. There is no photo upload for a card; if you want a copy, keep it with your paperwork.

Which card counts as the highest

The customer header shows one certification. DivePilot picks the card with the highest rank on the core ladder: Scuba Diver, Open Water Diver, Advanced Open Water, Rescue Diver, Divemaster, Instructor. Specialty cards such as Deep Diver or Nitrox have no rank, so a fresh specialty never outranks the Rescue Diver behind it. Levels you add yourself under Certifications in the sidebar have no rank either. TDI technical levels have a six-step ladder of their own that counts step for step against the core one, and when two cards share a rank, or none has one, the more recently issued card is shown.

Where certifications are used

On a boat trip, a dive group can carry required certification levels. The group's Check certifications button then opens the Certification check, which lists every customer in the group against each required level as matched, "manual check recommended" when a card only matches on its depth, or "no matching certification". Matching works across agencies: an Advanced Open Water from one agency satisfies an Open Water requirement from another. The check is advisory. It reports, it does not block a booking or a seat.

Courses are different. When a course template has a Prerequisite level, enrolling a customer who holds neither that level, an equivalent from another agency nor a higher card on the same ladder is refused with "The customer does not hold the certification required to enrol in this course".

Agencies and levels

The list of agencies and levels your dive center recognises lives under Certifications in the Resources group of the sidebar. Add an agency with Add agency, switch on the standard levels of a known agency such as PADI or SSI, or add your own level with a name and, optionally, a maximum depth.
