The self-registration link opens a form in your branding where a guest enters their own details, certifications and gear needs. Every submission becomes a new customer in your list, so nobody has to type it at the counter.
Find the link and QR code
- Open Settings and choose Registration in the Guests & bookings group.
- The Customer registration card shows the link and a QR code. Use Copy to copy the link, Download QR (png) for the code on its own, or Download PDF for a printable poster that says "Scan to check in".
- Next to it, the Online booking card shows the booking link, if online booking is switched on.
The same link and code are also on the dashboard in the Self-registration panel, unless you have switched Self-registration QR off under Customize.
Readable name or secret token
Under Link type you choose how the link is built:
- Dive centre name gives a readable link that is easy to print and to type by hand. It is not permanent: every save of the Dive centre settings tab changes it, even when the name stays the same, and the old registration and booking links stop working.
- Secret token gives an unguessable link. If it ever leaks, press Rotate token and every printed code stops working.
Note: Registration and online booking share one token. Rotating it invalidates both links at once, so reprint both posters afterwards.
What the guest fills in
The form walks through the same four steps as your own Add customer dialog: Basic info, Address, Experience and Health and gear. On the last step the guest says whether they bring their own gear or need to rent, and picks sizes. They have to tick the terms and conditions before Submit works. There is no waiver on this form. Waivers are requested separately, from the customer's Waivers tab or from Documents: see Request a waiver signature.
Which fields appear, and which are mandatory, is set under Settings, then Customer form. First name, last name, email and language are always required. For every other field you choose between Required, Optional, Staff only and Hidden. The Address or Experience step disappears from the guest's form when all its fields are hidden or staff only.
When a registration arrives
Staff with access to customers get an in-app notification titled New self-registration. The dashboard shows a New registrations panel with up to 20 of the newest unhandled entries. From there you can View customer, Send waiver, Create booking, Mark as handled, or Decline and delete as spam. Declining is offered only to staff who can delete customers, and is refused once the customer has a booking or course enrolment.
One guest, two records
DivePilot does not match a registration to an existing customer by email. A returning guest who registers again gets a second record. When that happens, merge the two: see Merge duplicate customers.
