Guests fill in their own details on two public forms: the self-registration page and the online booking page. Both ask the questions you switch on under Settings, then Customer form in the Guests & bookings group. The same settings shape the page a customer opens from an update link to check their details. The summary line at the top tells you how many fields the public form has and how many are required.

The four fields you cannot switch off

First name, Last name, Email and Language are always required. The language decides which language the customer's emails are written in, such as the booking, waiver signing and dive log emails.

The fifteen fields you control

They are grouped by the step they appear on:

Step Fields
Basic info Phone, Date of birth, Sex, Nationality
Address Address line 1, Address line 2, City, Postal code, Country
Experience Certifications, Total dives, Last dive date
Health and gear Passport number, Dietary requirements, Medical notes

For each field pick one of four settings:

  • Required: guests must fill it in.
  • Optional: guests can skip it.
  • Staff only: only your team sees and fills it in.
  • Hidden: not asked anywhere, not even in your own dialog. Anything already saved in the field still shows on the customer's profile.

Every change saves immediately with the toast "Customer form updated". There is no save button.

What the settings affect

  • The public forms show exactly the fields set to Required or Optional, and enforce the required ones.
  • A step whose fields are all hidden or staff only disappears from the guest's form, and the remaining steps renumber. Basic info always shows, and so does Health and gear on the self-registration page. On the online booking page this step is called Health and also asks for the weight belt, so it only disappears when you also offer equipment rentals online with a weights category.
  • Your own Add customer dialog hides only the Hidden fields. Required does not bind your team; only the four fixed fields are required there.
  • Setting Certifications to Required means a guest has to add at least one card with a level chosen.
  • Required also decides what counts as missing on customers you already have, including ones your team typed in. The orange notice on the customer's profile, the Profile line of a booking's Check-in panel and the pre-trip details check all list the required fields that are still empty. Staff only fields never count, because the guest cannot fill them in. See Find a customer and read their profile.

Note: Rental gear is not in this list. Whether guests can request rental gear from your equipment catalog is switched on under Settings, then Online booking, with Offer equipment rentals online.

Pre-trip details check

Below the fields, on the same tab, the Pre-trip details check card emails divers a link to complete their details before their dive. It is off until you switch it on. Under Send it choose from 1 to 7 days before the dive; the default is 2. Every day at 10:00 your time it looks at the bookings from tomorrow up to that many days ahead, and emails only divers with required details missing or required waivers missing or running out before the end of the dive day. The link works until the end of the dive day. Divers with nothing missing get nothing. Changes save at once with the toast "Pre-trip check saved". The whole tab needs the permission to manage the customer form settings.

See Emails your guests receive for which bookings are checked, and Let a diver update their details for what the diver can change through the link.
