The payment methods are the choices you see when you take a payment. Open Settings, then Payment methods in the Prices & payments group. Changing them needs the permission Bill settings. See Take payments.

The methods

A dive center starts with Cash, Card and Bank transfer. A built-in method keeps its name in your language until you rename it. Cash always counts in the drawer as it is.

  • Add method: a Name and Counts in the cash drawer, which puts payments with that method into the cash expected in the drawer, see Cash-up.
  • Online payment: added when you connect Stripe, see Connect Stripe for online payments. It does not count in the drawer, is never offered when your team takes a payment or a refund, and cannot be switched off while Stripe is connected. You can rename it.
  • Offered when taking a payment: switch a method off and it is no longer offered. A method is never deleted, so past payments keep their name.
  • Move up and Move down set the order of the list.

Notes for your country

Recording payments can fall under fiscal rules. DivePilot looks at the country of your dive center, set under Dive centre details, and shows a note on this page.

Germany: German law (KassenSichV) treats any system that can record cash as a cash register that needs a certified security module, a receipt for every sale and a notice to the tax office. DivePilot does not provide these, so Cash starts switched off. Switch it on only if your own certified till remains the legal record of your cash sales.

Austria: In Austria the cash register rules (RKSV) also cover cash and card payments taken in person once your turnover passes the thresholds (EUR 15,000 a year, of which EUR 7,500 in cash). DivePilot is not a registered cash register, so Cash and Card start switched off. Switch them on only if your own registered till remains the legal record.

France: In France, Guadeloupe, Martinique and Réunion included, software that records customer payments must be certified or covered by the publisher's attestation (art. 286 I 3° bis of the Code général des impôts). DivePilot has neither, so Cash starts switched off. Centres under the franchise en base (art. 293 B CGI) are outside this rule. Switch Cash on only if you record your cash in a certified cash system, or you are exempt.

Portugal: DivePilot is not invoicing software certified by the Autoridade Tributária. In Portugal, receipts and payment confirmations given to guests must come from certified invoicing software (DL 28/2019). Issue those from your certified program and use DivePilot's documents for your own records only. No payment method is switched off.

Other countries: Recording payments may fall under fiscal rules in your country. DivePilot's bill is not a fiscal receipt or tax invoice; keep issuing those from your fiscal system.

The last note is shown for Italy, Spain, Greece, Croatia, Malta, the Philippines and Vietnam.

The Online payments tab shows the same notes before you connect Stripe: in France, Portugal, Italy, Spain, Greece, Croatia and Malta you tick that you have read it before Connect Stripe works, and in Germany and Austria a note explains when online payments generally fall outside KassenSichV and RKSV and when they still belong in your till. Guadeloupe, Martinique and Réunion cannot connect Stripe yet.

Switching on a method named in the German or Austrian note, or adding a method that counts in the drawer in Germany or Austria, asks for a confirmation first: Before you switch this on, tick "My own certified till remains the legal record of these payments." and press Switch on. In France, Guadeloupe, Martinique and Réunion included, switching on Cash, or adding a method that counts in the drawer, asks for a confirmation too: tick that you record your cash in a certified cash system or are exempt.

Bills, invoices and fiscal rules

The bill's PDF says "This is not a fiscal receipt or tax invoice." It is your record of what a guest owes and paid. The numbered documents DivePilot issues from it depend on your country: tax invoices in Thailand and a few other countries when the business is registered for VAT or GST, invoices in some, and everywhere else payment confirmations that say they are not a fiscal receipt or tax invoice. Where the law asks for a certified till or fiscal system, that system stays your legal record. See What your documents are in your country.
