A receipt confirms one payment: the amount, the method, the date, who paid, the bill number and your dive centre's details. It has no tax breakdown; the tax is on the invoice, see Invoices and credit notes. Receipts are numbered in their own series, RCP-2026-00001 and onwards, restarting every calendar year.
Make a receipt
Under Payments in the bill's summary, choose Make receipt under the payment. DivePilot issues the receipt at once, and the payment shows its receipt number from then on. The receipt is listed in the bill's Documents card with Download PDF and Send by email.
- A payment has at most one receipt; a second one is refused.
- Only a payment that was taken and is still standing gets one: not a refund, not a voided payment, and not a payment that was reversed after a chargeback.
- It needs the permission Make receipts.
- Where your country needs business details on a document and Business & tax lacks some, Make receipt is refused with a message that names the field, see What your documents are in your country.
Automatic receipts
With Automatic receipts switched on, on the Invoices & receipts tab of the settings, every payment taken while the bill has no invoice yet gets its receipt by itself, typically a deposit or a payment upfront. It names no person as its issuer, and it is emailed to the guest when there is an address on file. Payments taken after the bill's first invoice get no automatic receipt; Make receipt still makes one by hand. One exception: an online payment that arrives after its bill closed first pays what that bill still owes and leaves the rest as credit on the guest's current bill; each of the two parts then gets its receipt, so the receipts cover the whole payment. When Business & tax lacks what your country needs, the payment is still taken but no automatic receipt is made. That includes payments guests make online and deposits paid when they book: the receipt comes in its own email, and the "Payment received" email DivePilot sends them says so, see Payment links and the My bill page. Deposits paid together for several bookings make one payment per booking, each with its receipt; the receipts of one online payment on the same bill come together in one email.
When a payment is voided
A voided payment keeps its receipt: numbers are never removed from a series. The payment on the bill and the Invoices & receipts page show the receipt with "Payment voided". A payment a lost dispute took back keeps its receipt the same way, shown with "Payment charged back". Refunds, including refunds to the card, get no document of their own; the next invoice of the bill shows them among the payments.
In your country
Where DivePilot cannot be the legal record, a receipt also says "This is not a fiscal receipt or tax invoice.". In Thailand every label is shown in Thai as well. See What your documents are in your country.
