Cash-up in the sidebar is where you see what a day took, count the drawer and close the day. It uses the payments you recorded on bills, see Take payments. The page has two tabs: Day for one business day, and Reports for a period.
Choose the day
The Day tab opens on today. Use the arrows on either side of the date to go to the previous or the next day, or press the date to pick one from the calendar. Today brings you back. Next to the tabs, the day shows whether it is Open, or who closed it and when. Once today is closed, payments taken after that count for the next day, and the page says so.
The day at a glance
The cards at the top show the day's figures:
- Expected in the drawer: the cash that should be in the drawer now.
- Taken: everything taken that day, by every method, with the number of payments.
- One card for each other method that took money that day, such as Card, Bank transfer or Online payment.
A day without payments shows "No payments on this day" instead.
How the expected cash adds up
This card shows the sum behind Expected in the drawer, line by line: the Opening float, plus the Cash taken, minus the Cash refunded, plus or minus the Drawer movements. Online payments never count in the drawer. Only payments by a method that Counts in the cash drawer are part of it, see Payment methods. The opening float is the amount counted when the last day was closed. When earlier days since the last close are still open, their cash is in the drawer too, so the sum counts from the last close: Cash taken then names the first and the last day, for example "Cash taken Fri 9 Oct - Sun 11 Oct", lists each day's cash under it, and each drawer movement shows its day.
Drawer movements
Money that goes into or out of the drawer without a sale is a drawer movement. On the current business day, press Add movement on the Drawer movements line, choose the Kind (Bank deposit, Safe drop, Float in or Other) and the Amount. A bank deposit and a safe drop take money out, a float puts money in, and for Other you choose Money in or Money out. The day's movements are listed under that line, with who recorded them and when, and the expected cash follows.
Close the day
Close the day takes two steps:
- Count the cash: enter everything in the drawer, the opening float included. As you type, DivePilot shows the difference to the expected cash: "Matches", "5.00 over" or "5.00 short".
- Note: worth a line when the count is over or short, or when something unusual happened.
Press Close the day. DivePilot asks "Close Fri 9 Oct 2026?" once more. When earlier days since the last close are still open, the panel says so above the count, for example "This count closes the 3 days from Fri 9 Oct to Sun 11 Oct together.", and the question repeats it: one count closes them all. On an open day with later open days that took cash, the panel says first that their cash is in the drawer too and offers to open the latest of them, whose close counts them together; closing the earlier day stays possible, for a drawer counted that evening.
- A closed day is final and cannot be reopened.
- A payment taken after that counts for the next day. A payment of a closed day that is voided later is reversed on the current day, and the closed day stays as it was.
- Closing a day closes every open day before it since the last close with one count, so no day can be skipped. You can close today or any open day after the last closed day; a day that is already closed or still ahead cannot be closed: DivePilot says which day closed it, or which day was closed last.
A closed day shows Day closed instead: what was counted, what was expected, the difference, the note, and who closed it and when. When the count closed several days, it says which. A day closed together with a later one reads Closed with that day next to the tabs; its Day closed card says "Closed together with Sun 11 Oct", shows what was counted, what was expected and the difference of all the days once, then This day's cash, and View Sun 11 Oct opens the closing day with the whole sum.
Payments of the day
Payments of the day lists each payment with its time, guest, bill, method, who took it and the amount. Use Search guest or bill to find a guest or a bill number, and the method list (All methods) to see one method only. The first ten payments show; press Show all for the rest. A payment that was cancelled is marked Voided or Reversal. By staff under the list shows what each person took. Payments, refunds made in the Stripe Dashboard and dispute reversals that came from Stripe show Online where a person's name would be; a refund to card asked for from the bill shows the person who asked for it, see Connect Stripe for online payments. By staff counts all online money under Online, a refund to card asked for from the bill too, and counts refunds or reversals apart, as the method cards do.
Reports
The Reports tab covers a period: This week (from Monday), Last 7 days, This month, Last 30 days, Last month, or Custom with a From and a To date, up to one year. The chosen days read in words above the figures, with how many they are, and Download CSV saves the period's takings for your accountant: a row per day with a column per method, the day's total, its payments and its refunds or reversals, then the totals. In English the file uses commas and decimal points; in the other languages semicolons and decimal commas, so a spreadsheet in that language opens it in columns. Your accountant can also get every cash close with the days it covered, the payments and the documents of a period, see Exports for your accountant.
The cards show:
- Taken, compared with the same number of days just before (or No earlier takings to compare), with a small line of the takings per day (per week or month for a longer period, as in the chart).
- Payments, the payments taken, with the average payment and any refunds or reversals counted apart with their sum.
- Average per day, over the days of the period up to today.
- Discounts on lines posted in the period.
Takings over time shows the net takings per day as bars split by method, the methods named under the chart. A refund or a reversal lowers the day it was posted on. Over two months the bars are weeks (Monday to Sunday), over half a year months. Point at a bar, or tab to the chart and move with the arrow keys, to see its exact figures; Show as table lists the same figures.
Under it, each as bars with the amount, the number of payments and the share of the takings:
- Takings by method and Takings by staff. Takings by staff lists all online money under Online, refunds to card included, whoever asked for them.
- Discounts on lines posted in this period, by reason, each bar split into On lines and On bills, with the number of discounts. It counts by the day the line (or its reposted version) was posted. Under them, Price changes shows the prices lowered by hand in the period, apart from the discounts.
A period without payments, discounts or price changes says Nothing taken in this period.
Who sees what
Closing and drawer movements need Close the day; See cash-up shows the page, and See own takings shows only the payments you took, as Your takings, without the drawer figures or the split by staff. Your own takings never include online money: neither online payments nor the refunds to card you asked for.
