Courses live under Courses in the sidebar. Every course is planned from a template and then filled with students and sessions.
Create a course
Press New course:
- Pick the Template. It cannot be changed afterwards.
- Give the course a Course name; the template name is prefilled, and adding the batch or season helps tell courses apart.
- Set the Start date and, optionally, the planned End date.
- Choose the Primary instructor, or leave it unassigned for now. Choosing someone whose roles do not include Instructor is refused; people with no roles are not restricted.
- Set Max students, up to 50, or leave it blank for no limit. The limit also sizes the dive groups the course creates on boat trips.
- Add Notes if useful.
- If your dive center offers scheduled courses online, switch Online booking to Bookable online.
- Press Create course.
The course page
The header shows the name, the status, the template, the dates, the instructor and the students, as a count or as students out of the limit. Two tabs follow: Sessions and Roster. See Schedule the sessions and Enrol students.
Statuses
| Status | How it gets there |
|---|---|
| Planned | New course |
| In progress | Automatically when the start date arrives |
| Completed | Automatically once no enrolment is open and at least one student completed |
| Cancelled | You pressed Cancel course |
A course where everyone withdrew does not complete. A late enrolment in a completed course reopens it. Once a course is completed or cancelled, its details can no longer be edited, but its sessions still can.
Cancel or delete
Cancel course keeps the enrolments and sessions for reference but stops the course. The course's dive groups are removed from boat trips dated today or later; trips on earlier dates keep them for the records.
Delete removes the course permanently with its sessions and attendance. It is refused while the course has any enrolments, withdrawn ones included: the Delete course? confirmation says enrolments are deleted too, but confirming shows "A referenced record does not exist". Remove them first with Remove enrolment on the Roster tab.
Find courses
The list searches by course or template name and filters by status. The Active enrolments tab lists every student still in a course that is not cancelled, with their outstanding sessions. Instructors whose access is limited to their own courses see only the courses they instruct.
Reminders
DivePilot notifies you when a course starts tomorrow with sessions lacking an instructor, when a course booking is still not enrolled three days before the start, and when a student is stuck with open sessions in a course that already completed.
