Students are enrolled from the Roster tab of the course. The line at the top counts them, and Enrol student opens the dialog.
Enrol from a booking
If guests booked this course type online or at the counter, their reserved bookings are listed under Pending bookings with an Enrol button each. Enrolling confirms the booking and emails an online guest their confirmation. The email gives the date on the booking, so if the guest joins a course that starts on another day, change the booking's Course start date first.
Enrol directly
Search the Customer and press Enrol. The person has to be a customer already; add them under Customers first.
What DivePilot checks
- If the template has a prerequisite level, the customer must hold it. An equivalent level from another agency, or a higher card on the same ladder, counts too. Otherwise the enrolment is refused with "The customer does not hold the certification required to enrol in this course".
- If the course has a Max students limit and it is reached, the dialog warns and the enrolment is refused.
- A customer cannot be enrolled twice in the same course, and a cancelled course accepts nobody.
- If an open water session is already on a trip and its dive group is full, the enrolment is refused with "The dive group has reached its maximum number of divers".
What enrolling does
The student gets a pending attendance row for every existing session, joins the dive groups of open water sessions already on a trip, and a linked booking becomes Confirmed. If the course had already completed, it reopens.
Withdraw or remove
- Withdraw student marks the enrolment as withdrawn and keeps the record. A linked booking is cancelled, without a cancellation email to the guest.
- Remove enrolment deletes the enrolment with its attendance. A linked booking returns to Reserved, so the reservation is pending again rather than lost.
Neither frees the student's seat on a boat trip: for a withdrawn student use Mark absent for this session on the trip, and a removed enrolment leaves a row named Unknown that you take off with Remove from the group.
Both ask you to confirm. Recheck completion on a row re-runs the completion check, see Completion and the awarded certification.
Keep an eye on enrolments
The Active enrolments tab on the Courses page lists every student who is enrolled or in progress in a course that is not cancelled, with the sessions still outstanding. Instructors whose access is limited to their own courses see only the students of courses they instruct. A student whose course has already completed but who still has open sessions is flagged in amber and listed first on their page of the list. On a customer's profile, the Activity tab lists all their courses, including completed and withdrawn ones, with the start date, the enrolment status and any open sessions.
