A new booking is Reserved. It becomes Confirmed in one of three ways, and for online bookings the guest is emailed the moment that happens.
Seat the guest on a boat trip
This is the normal path for a fun dive:
- Open Boat trips and the trip on the booking's date and departure.
- Next to the Dive groups section, the booking waits under Unassigned bookings with the customer's name and the booking number.
- Drag it onto a group, or tap it and pick the group under Assign to group.
The booking turns Confirmed and the guest takes a spot in that group. The strip above the groups shows how many bookings are still unassigned, and reads All bookings assigned when you are done. A group shows its divers out of the maximum, the spots left, and Full when there is no room. Seating is not blocked when a group shows Full, so check the count before you add a booking.
DivePilot only lets you seat a booking on a trip with the same date and departure; a mismatch is refused with a message. Only reserved and confirmed bookings can be seated.
Enrol the guest in a course
A course booking is confirmed by enrolling the customer from the course page, with Enrol next to the booking under Pending bookings. Until then, the booking page says the customer is not enrolled yet, and three days before the start date DivePilot reminds you with Course booking needs enrolment. Enrolling the same customer through the customer search leaves the booking reserved, and a course booking confirmed with Confirm is no longer listed under Pending bookings.
Press Confirm
Confirm on the booking page, or the confirm icon on the list row, confirms a reserved booking without seating anyone. Use it when the trip is not planned yet or the guest joins a shore dive. A booking confirmed this way stays confirmed until you change it; it completes by itself only once you seat it on a trip and that trip's date has passed.
Taking a guest off again
Removing a participant from a dive group with Remove from the group sends the booking back to Reserved. Nothing is emailed for that. Seat them on another group or trip to confirm again.
What the guest gets
For a booking made online, the confirmation email is sent whenever the booking turns from Reserved to Confirmed, whichever path does it. Seating a booking you already confirmed sends nothing more, but a guest you took off and seat again is emailed again. The email asks the guest to arrive a little before departure with their certification card, and it carries a calendar file for the booking. Bookings you created by hand send nothing.
